What contractors tell us

Association work pays well. Getting it is the hard part.

These are the problems contractors and managers describe again and again, and how your AI agent handles each one.

"Managers already have their vendors"

Hard to break in

Fix: Your agent reaches every board and manager in your county, every week, and gets you into the competitive bids they're required to collect.

"New manager, new vendors"

Manager and board turnover

Fix: Your agent spots new managers and board changes and re-introduces you first, before they default to their old contractors.

"The low bid wins by leaving things out"

Losing to lowball bids

Fix: Your outreach leads with credentials, warranty and association references, so boards compare value, not just price.

"Decisions wait for the next board meeting"

Slow, long decision cycles

Fix: Your agent keeps you in front of them for months and times follow-ups to budget season and board meetings.

"I'm on a roof all day"

No time to prospect

Fix: We build and run everything. You approve how your agent writes, then take the calls.

"By the time I called back, they'd hired someone"

Slow replies lose jobs

Fix: Your agent reads replies in seconds and drafts your answer, so interested managers hear back within hours.

What boards and managers want

We build your outreach around what managers say they look for.

  • 1
Responsiveness. Managers expect replies within about an hour. Your agent makes sure no reply sits.
  • 2
Proof up front. License number, insurance naming the association, manufacturer certification. It goes in your first email.
  • 3
References from other associations. Your agent quotes your managers and boards, not homeowners.
  • 4
Clear, itemized bids. We help you send bid-ready proposals with exclusions spelled out, so there are no surprise change orders.
  • 5
Honest, low-pressure contact. Clear sender, honest subject lines, easy opt-out. No tricks, no storm-chaser tactics.

Who we reach for you

Two markets. One list. Pick where you want to grow.

Some contractors specialize in condo buildings, some work on any property, and some want to move up from HOA work to condo projects. Your AI agent targets the associations that fit your business.

Condo associations
~27,500

The association owns the whole building

Mid- and high-rise towers, low-rise and garden-style buildings. The board pays for the roof, structure, exterior and systems, and many face milestone inspections and reserve studies.

  • Roofing and waterproofing
  • Concrete and balcony restoration
  • Painting, coatings and impact windows
  • Elevators, fire safety, HVAC, plumbing
Homeowners associations
~23,000

The association owns the community

Single-family and townhome communities. The board pays for roads, gates, clubhouses, pools and grounds, and in many townhome communities, the roofs and exteriors too.

  • Townhome roofs and exterior painting
  • Clubhouse and amenity buildings
  • Paving, gates, security and lighting
  • Landscaping, irrigation, pools and lakes

How it works

Your AI agent reaches the associations. You get the clients.

We build your list of condo associations and HOAs, train your AI agent on your company, and run the outreach every week. Every association that wants a quote comes straight to you. From setup to first conversations in about three weeks.

Weeks 1–2

Build

We build your AI outreach system: separate email domains so your company email is never at risk, plus your list of managers and associations in your county.

Weeks 2–3

Train

We train your AI agent on your services, projects and tone, and warm the inboxes so emails land. You approve how it writes.

Week 3 on

Reach out

Your AI agent sends about 10,000 personal emails a month to boards and managers, follows up on schedule, and drafts every reply.

Every week

Hand off

Interested associations come straight to you with AI-written notes on the building and the request, plus a live dashboard of results.

How your AI agent works a county for you

The orange pulse is the contractor. Teal packets are emails your AI agent sends to association boards and managers. Green packets are replies asking for a quote. Blue circles are condo associations, purple diamonds are HOAs. Each association that replies appears on the right with the conversation and the result. Tap any labeled one to see it.

What the AI agent does

  1. Pulls every condo association and HOA in the county
  2. Finds each board and property manager contact
  3. Flags buildings and communities with projects coming due
  4. Emails boards and managers in the contractor's name, with follow-ups
  5. Answers replies and hands over every association that asks for a quote

Broward has about 3,987 condo associations (CAI) plus thousands of HOAs. Building facts come from public listings. HOA names are well-known communities with approximate locations. Small markers show the general pattern (condos cluster on the coast, HOAs inland), not exact counts. Likely needs are inferred, not stated by the associations.

Your AI agent

Custom-built for your company. Working every hour you're on a roof.

Not a generic chatbot. We design, build and train an AI agent on your company, then run it for you. It saves you the time, effort and cost of prospecting, and it never forgets a follow-up.

Finds the right associations

Builds and keeps your list of condo associations, HOAs, boards and managers in your county up to date, and flags buildings facing reserve study and inspection deadlines.

Writes in your voice

Personal emails that mention each building and your real projects, written the way you talk, approved by you before anything goes out.

Follows up, every time

Sends each follow-up on schedule and times it around board meetings and budget season, so no association slips through the cracks.

Reads and answers replies

Reads every reply in seconds, sorts hot, later and not interested, and drafts your answer. Interested associations reach you within hours, not days.

Qualifies the opportunity

Asks managers for scope, timeline and building details, collects photos and engineer reports, and hands you a ready-to-quote summary.

Drafts your bid responses

When an association sends a bid request, AI drafts your answers to every question from your license, insurance, warranty and past jobs. You review and submit.

Tracks bid deadlines

Site visits, question deadlines and bid due dates in one place, with reminders, so no invitation slips past while you're on a job.

Reports in real time

A live dashboard shows emails sent, replies, quote requests and pipeline value, so you see your AI agent at work every day.

You stay in controlPricing, scope and commitments always come to you. The AI handles first contact and routine follow-up.

FAQ

Questions contractors ask us

How many jobs will I get?

No one honest can promise jobs. We commit to the outreach: about 10,000 emails a month to managers and boards in your county, with every number in a weekly report. Typical cold email reply rates run 1–3%.

Is cold email legal?

Yes. In the US, commercial email, including business-to-business email, is governed by the federal CAN-SPAM Act, enforced by the Federal Trade Commission. It allows cold email as long as every message follows its rules:

  • Honest sender, reply-to and routing information
  • A subject line that matches the message
  • Clear identification that the message is a commercial offer
  • A valid physical postal address
  • An easy way to opt out, honored within 10 business days
  • No selling or sharing of addresses that opted out

Florida's Electronic Mail Communications Act also bans false or misleading commercial email, such as forged headers or deceptive subject lines. Penalties under CAN-SPAM can reach $53,088 per email, and the advertiser is responsible even when someone else sends for them. That's why we build every campaign to these rules and keep a suppression list of everyone who opts out.

Will this affect my company email?

No. We never send from your main domain. Outreach goes from separate domains that are set up and warmed for this purpose.

How fast will I see results?

Setup and warm-up take two to three weeks. First replies usually arrive in the first few weeks of sending.

What do I need to do?

One onboarding call, approve the emails, and take the calls from interested managers.

What does the AI agent actually do?

It builds and maintains your association list, writes and sends personal emails in your voice, follows up on schedule, reads every reply and drafts your answer, and hands you a summary of each association that wants a quote. Anything about pricing or commitments comes to you.

Who writes the emails?

We do, with you. They're short, plain and written in your voice, and nothing goes out until you approve it.

What is the free setup offer?

We set everything up at our cost: your sending domains and inboxes, your list of condo associations and HOAs in your area, your AI agent, your draft emails and follow-ups, your campaigns and your portal. When it's ready, we book a call to walk you through it. If you want to go ahead, a small deposit starts the outreach and activates your portal. If not, you owe nothing.

Can I cancel?

Yes. After the setup period it's month-to-month.

What if my county is taken?

Tell us on the contact form and we'll add you to the waitlist, or help you choose a nearby county that's still open.

Do you book appointments for me?

We hand interested managers to you with your booking link. Full appointment setting is available as an add-on.

Do you reach HOAs or only condos?

Both. Florida has about 27,500 condo associations and 23,000 HOAs. We target the ones that buy what you sell: condos for building work, HOAs for community and townhome work, or both.

Why Florida only?

Florida's condo and HOA repair and bidding rules are specific. Working in one market means our lists, timing and messages are built for it.

Problems we solve

What boards and managers tell us goes wrong with contractors.

"Half of them never showed up"

No-shows and no-bids

Fix: Only contractors who opted in to association work, in your county, are invited. Site visit reminders go out automatically.

"Every bid priced something different"

Apples-to-oranges bids

Fix: One structured bid package with the same questions for every bidder, so bids line up line by line.

"The cheap one left out half the job"

Lowball bids that hide gaps

Fix: Missing scope items are flagged next to each bid, so the board sees what the low number left out.

"Their insurance had lapsed"

Unverified license and insurance

Fix: License and insurance are checked before a contractor can bid, and certificates are tracked until they expire.

"Writing the RFP took weeks"

Bid packages take forever

Fix: Answer a few questions or pick from hundreds of templates. AI drafts the full package with your dates and requirements.

"Owners asked why we picked them"

Hard to defend the decision

Fix: Every invite, question, answer and bid is on record, ready for the board packet and owner questions.

How a bid request works

From "the roof leaks" to three to five solid bids.

Example: a 22-story Fort Lauderdale condo needs a full roof replacement.

  1. Describe the projectPick "Roof replacement" or start from a template. Property type, building height and units fill in from your profile.
  2. Answer the AI's questionsRoof area, current roof type and age, engineer specs, known leaks, warranty required, start window, resident limits.
  3. AI drafts the bid packageScope, requirements, schedule, the questions every bidder must answer, and how bids will be judged. You edit anything.
  4. Set the deadlinesMandatory site visit, questions due, bids due and board decision date. Reminders go out on their own.
  5. Filter hundreds of contractorsStart with every roofer in Florida, narrow to your county, then by years in business, association projects, high-rise experience, insurance, rating and reply time.
  6. Invite your shortlistPick the top 3 to 5. They get the package, answer the same questions and submit in the portal.
  7. Compare and decideBids line up side by side with gaps flagged. Clarifying questions are answered from your package, and everything is ready for the board meeting.

Smart contractor filtering

Hundreds of contractors in, the right handful out.

You set the bar. The portal shows how many contractors clear it, live, as you change each filter.

  • Years in business and completed association projects
  • High-rise experience and manufacturer certification
  • Liability limits, with the association named as additional insured
  • County served, manager ratings and typical reply time

Association FAQ

Questions boards and managers ask us

What does it cost the association?

Nothing. Contractors pay CondoReach for outreach. Associations and managers use the portal free.

Can a contractor pay to be shown to us?

No. Contractors can't buy placement in your search or shortlist. You set the filters and choose who to invite.

How are contractors checked?

We check that a contractor's Florida license is active and that an insurance certificate is on file before they can bid. You should still confirm both before signing a contract.

Can we invite our own contractors?

Yes. Add any contractor you already use, and they bid on the same package as everyone else.

Who writes the bid package?

You answer a few questions or pick a template, and AI drafts the package. You or your engineer review and edit it before anything is sent.

Is CondoReach part of our contract with the contractor?

No. The contract is between the association and the contractor you choose. CondoReach provides the tools to request and compare bids.

Free for associations. No kickbacks.
